1. SCOPE

This policy applies to the current SAN website, early-access mailing list, prospective-member manifest, and related communications. Future platform features may require additional privacy notices and consent choices before they launch.

2. INFORMATION YOU PROVIDE

Depending on the path you choose, SAN may collect your email address, first and last name, ZIP code, connection to military service, branch, selected communication and opportunity preferences, communication consent, eligibility certification and its date/version, submission type, and submission dates. Preferences may include veteran resources, product testing, advisory panels, employment, events, service missions, business opportunities, and Perks or partner offers. A prospective member may provide the first name and email address of a personal military or veteran contact so SAN can deliver one referral invitation. SAN does not add that referred person to Mailchimp or a marketing list unless the person independently chooses to join. Member-initiated text and native sharing occur through the member’s own device, and SAN does not receive the selected phone number. Do not submit Social Security numbers, Department of Defense identification numbers, discharge papers, medical records, claims files, financial-account information, classified information, or other sensitive documents through these forms.

3. TECHNICAL INFORMATION

Hosting, security, and delivery providers may automatically process limited technical information such as Internet Protocol address, browser and device type, requested pages, referring page, date and time, and diagnostic or security events. SAN does not currently use advertising cookies on this site. Essential technologies may be used to deliver, protect, or maintain the service.

4. HOW SAN USES INFORMATION

  • Maintain and deduplicate the Formation and prospective-member lists.
  • Queue consenting newsletter signups and selected topics for Mailchimp when connected. Prospective-member records without optional topic selections are not enrolled in marketing.
  • Send requested newsletters, resources, pilot invitations, surveys, launch updates, and next steps after delivery is connected. Send signup notifications to SAN’s monitored inbox; queued delivery can be retried without losing the saved registration.
  • Deliver one member-requested referral email to a known personal contact through SAN’s separately controlled referral-email service.
  • Prevent duplicate referral messages, enforce per-member limits, and honor referral opt-outs.
  • Plan local rallies, pilots, partner coverage, and member priorities using ZIP code and interest information.
  • Improve, secure, troubleshoot, and measure the website and future platform.
  • Prevent spam, abuse, fraud, and unauthorized access.
  • Comply with law and protect users, SAN, and the public.

5. EMAIL CHOICES

You can choose the categories of updates and opportunities you want, and later change those preferences or unsubscribe from promotional or newsletter emails using the method in the message. When connected, Mailchimp manages campaign preferences, unsubscribe requests, and suppression records so an address that opted out is not accidentally resubscribed. A referral recipient receives one invitation, is not subscribed by that message, and may use its single-page opt-out to prevent future SAN referral invitations. SAN may retain a minimal suppression record to honor that choice. Essential communications about a prospective-member registration may be treated separately from optional topics. For access, correction, deletion, or communication preferences, email info@squaredawaynation.com.

6. WHEN INFORMATION MAY BE DISCLOSED

SAN does not sell personal or identifiable member information. Information may be disclosed to service providers, including Mailchimp for opted-in communications and Amazon Web Services for controlled referral-email delivery, that host, secure, deliver, or support the site and communications; when required by valid legal process; to investigate abuse or protect safety and rights; or as part of a business reorganization subject to appropriate safeguards and notice where required. Service providers may use information only for authorized services and their own legal obligations.

7. AGGREGATE AND DE-IDENTIFIED INSIGHT

SAN may use aggregated or de-identified information to understand veteran needs, improve programs, measure outcomes, and develop governed research or institutional insight. SAN’s stated policy is not to sell personal data. Any future external insight product should use data minimization, minimum group-size rules, re-identification testing, contractual controls, legal review, and additional consent where required. SAN will not intentionally represent de-identified information as anonymous if individuals could reasonably be identified.

8. RETENTION

SAN retains early-access information while the list remains active, while you continue to request communications, and as reasonably necessary for the purposes above, legal compliance, dispute resolution, safety, and suppression records. Referral-invitation records are normally retained for up to 90 days to prevent repeated outreach and support the invitation link; a minimal suppression record may be retained longer when a recipient opts out. Information that is no longer needed should be deleted or de-identified.

9. SECURITY

SAN uses reasonable administrative, technical, and organizational safeguards appropriate to a pre-launch website. No website, email, transmission, or storage system is completely secure. Do not use early-access forms for urgent, classified, clinical, claims, or highly sensitive information.

10. AGE AND CHILDREN

The current forms are intended for adults age 18 and older. SAN does not knowingly collect personal information from children through these forms. A parent or guardian who believes a child submitted information should contact SAN at info@squaredawaynation.com so the record can be reviewed and removed.

11. YOUR PRIVACY RIGHTS

Depending on where you live, you may have rights to request access, correction, deletion, portability, restriction, or information about disclosure of your personal information, and to appeal or complain to a regulator. SAN will evaluate verified requests under applicable law. Rights and exceptions vary by jurisdiction.

12. THIRD-PARTY LINKS AND POLICY CHANGES

Third-party websites and resources have their own privacy practices. Review them before sharing information. SAN may update this policy as the project develops; the date above identifies the current version. Material changes may also be announced through the website or newsletter when appropriate.
